In our FAQ for applicants, you will find the most important answers about your application, the procedure, the application process, and the opportunities we offer you as a career partner.

We explain to you transparently how the placement process works, what documents we need, and what you can expect when working with SAPHIR. Whether you are interested in starting directly in a permanent position or in a dual master's program in cooperation with SIBE – School of International Business and Entrepreneurship – we will answer all your questions.

SAPHIR

Who is SAPHIR?

We are a recruitment consultancy specializing in young professionals and place candidates in permanent positions as well as in work-integrated further training options through SIBE master's programs. We support candidates in their search for a suitable company. We also advise on possible career paths, potential, and skills, and work with our talented candidates to optimize their application documents.

We have a total of around 20 employees divided into different teams. Our office is located in Herrenberg, near Stuttgart.

Before applying

What are the application requirements?

The following requirements apply to placement in permanent employment:

  • Completed bachelor's degree
  • Maximum of 5-8 years of relevant professional experience in Germany
  • German language skills of at least B2

The following requirements apply for placement in combination with a work-integrated master's degree at SIBE:

  • Completed bachelor's degree
  • Initial work experience (e.g., in the form of working student positions, internships, or permanent employment)
  • Proof of English proficiency (minimum B2 level, no more than 3 years old). If you do not yet have proof of your proficiency, we recommend, for example, this free English test, which includes a certificate:Free standardized English test in accordance with the CEFR | EF SET

Can I apply even though I don't have my bachelor's degree yet?

Yes, that is possible—just send us your current transcript.

Your application

Should I submit an unsolicited application or apply for a specific position?

It's up to you! If a particular position appeals to you, then feel free to apply for it directly. If you are still undecided or find several positions interesting, then feel free to send us a speculative application. The selection process for admission is the same for all job vacancies.

If I want to apply for several positions, should I apply multiple times using the online application form?

No, please only apply once (for a specific position or as a speculative application). Once you have successfully completed our selection process, you can view all current job vacancies and then let us know which other partner companies you are interested in.

Do I need to write a cover letter?

No, we do not require a cover letter. However, if you would like to write one, please describe your motivation or explain why a specific position or department is particularly well suited to you.

Do I have to apply to SAPHIR and to the companies?

No, the advantage of our talent pool is that you only need to apply to companies via our application portal. This saves you time and increases your chances of getting in touch with several exciting companies.

Is there an application deadline? / When are the positions to be filled?

Our partner companies are usually looking for a new team member to start immediately. However, you can apply to us at any time, as it is possible to start at the companies on the 1st and 15th of each month. We regularly receive similar new positions, so feel free to apply now, even if you are only available at a later date.

When is the best time to apply?

You can apply at any time. Most positions at our partner companies are available immediately. The best time to apply is about 3–4 months before your desired start date—this will give you enough time to find a suitable partner company.

What application documents should I submit?

  • Current resume in German and/or English
  • University transcript(s) including grade report and university diploma(s) OR current grade report and certificate of enrollment if studies have not yet been completed
  • University entrance qualification (e.g., high school diploma or similar)
  • Work and/or internship references
  • Proof of English proficiency (minimum B2 level, no more than 3 years old). If you do not yet have proof of your proficiency, we recommend, for example, this free English test, which includes a certificate:Free standardized English test in accordance with the CEFR | EF SET

    • Letters of recommendation, confirmations of volunteer work

 

For applicants with a college or university degree from China, Vietnam, and India: Certificate from the Academic Evaluation Center (APS) – further information can be found here or in the follow-up question.

What is the Academic Examination Center (APS) certificate?

The APS (Academic Evaluation Center) is a cooperation between the German Embassy and the German Academic Exchange Service (DAAD). Its main task is to verify the authenticity of university or college certificates submitted from China, Vietnam, and India. Applicants with documents from Hong Kong, Macao, and Taiwan do not need a certificate from the Academic Evaluation Center.

If the result is positive, a certificate will be issued confirming that the documents submitted are genuine and that the academic achievements are sufficient for studying at a German university. Only when this certificate is available is it possible to apply for a student visa in Germany. Applying for such a certificate can take up to 60 days.

An APS certificate is not required if you obtained your university entrance qualification (school leaving certificate) outside of China, Vietnam, or India.

The certificate must already be available when you apply for the SIBE master's programs, otherwise our application and selection process cannot continue.

Why do I need a university entrance qualification when I already have a bachelor's degree?

Due to legal regulations regarding admission, we are required to verify your university entrance qualification.

English level

What level of English is required?

A minimum English proficiency level of B2 is required. If you do not yet have a certificate (issued within the last 3 years), we recommend, for example, this free English test, which includes a certificate: Free standardized English test based on the CEFR | EF SET

Do I need proof of English proficiency?

At the time of application, you must provide proof of English proficiency. If you have proof of English proficiency (minimum B2 level, no older than 3 years), please upload it along with the rest of your application materials.

How is the English test structured?

The English test consists of a 25-minute reading section and a 25-minute listening section. No special preparation is required.

Is it possible to receive a certificate for the EF SET English test?

Yes, you'll receive a certificate once you've completed the test.

Selection process

I already have a job offer from a company. Do I still have to go through the SAPHIR selection process?

Yes, you must always go through the SAPHIR selection process. Although the company's commitment is an important first step toward starting your studies, you must still pass our selection process. You will receive further information on this after submitting your application.

What are the individual steps in the selection process?

If your documents are approved:

  • Personal interview via MS Teams in German or English
  • Follow-up: KODE® skills assessment and completion of a questionnaire (to assess your background and knowledge)

If feedback is positive: inclusion in the talent pool

What tasks can I expect during the selection process? How can I prepare myself?

Prepare yourself as you would for a normal job interview. In addition to your academic achievements and career to date, we focus on your overall performance, skills, and motivation.

In what form will the conversation take place?

The conversation will take place online via Microsoft Teams.

In which language will the conversation take place?

Our interviews are conducted in German. However, it is also possible for our international applicants to complete the interview and the KODE® competency assessment in English.

What if I am ill or otherwise unable to attend the interview?

No problem, just contact your contact person—in this case, an alternative date can be arranged quickly.

When and where will the interview take place?

One of our recruiters will contact you to arrange appointments for the online selection process via MS Teams. We will, of course, take your availability into account.

How long does the selection process take?

Please allow approximately 30-45 minutes for the interview. Afterwards, you will need to complete our KODE skills assessment and other important information in the application portal. Please allow another 45 minutes for this. The follow-up does not have to be completed immediately after the interview. You have 24 hours after the interview to do this.

What happens if the position is already filled by the time I pass the selection process?

If a position has already been filled by the time you have completed our selection process, we will unfortunately no longer be able to consider your application for that position. However, we have a large number of vacancies and new ones are added every day. Once you have been added to our talent pool, we can forward your documents directly to our partner companies' new vacancies and actively support you in your search for a partner company.

What happens if I am not successful in the selection process?

Please do not see this as a reflection on your knowledge. Currently, only about 20% make it into our talent pool. In this case, you are welcome to reapply after 6 months. You will also receive our KODE® evaluation. You are welcome to use these results to work on your skills.

What happens if I successfully complete the selection process?

In this case, you will be added to our talent pool. Here you now have the opportunity to apply for all of our current job vacancies.

KODE® self-assessment

What is KODE?

KODE® is a questionnaire that assesses your skills under normal and difficult conditions and is therefore not a personality test. The results give you the opportunity to reflect on your strengths, identify your weaker skills, and determine areas for improvement. There are no right or wrong answers; it simply offers you the chance to analyze your current skills and areas for improvement.

How does KODE work?

The KODE® questionnaire displays 24 incomplete sentences, each of which must be completed with one of four possible answers. These answers must be ranked using numbers – each number may only be used once (from "4 – most applicable" to "1 – least applicable").

It usually takes about 20 minutes to complete the questionnaire.

Admission to the talent pool

What happens after being accepted into the talent pool?

Once you have been accepted into the talent pool, we will assist you in finding a partner company. We will arrange a separate appointment with you to explain everything in more detail. During this meeting, we will also be happy to discuss your resume in more detail and optimize it if necessary to make it even more attractive to companies.

Who should I contact if I have questions during my time in the talent pool?

During your time in the talent pool, you will have a personal contact person whom you can contact at any time with all your questions and concerns. Of course, you can also contact any other SAPHIR contact person.

I have questions about a specific position. Who should I contact?

Please feel free to direct your questions to your personal contact person. Alternatively, you can also contact the respective job supervisor. You can find their details under the job advertisement.

How long can I remain in the SAPHIR talent pool?

Once you’re accepted into our talent pool, you’ll remain an active member for up to 24 months. This period is limited for data protection reasons. However, you can renew your consent at any time, which will extend your time in the talent pool accordingly. Regardless of this, you can adjust your status at any time—for example, by taking a break; we’re here to accommodate your needs!

Are there any costs associated with being in the SAPHIR talent pool?

No, there are no costs associated with being part of the SAPHIR talent pool. Both the coaching after possible acceptance into our talent pool and, for example, the offer of KODE counseling (a 30-minute discussion of the KODE self-assessment, which is part of the selection process) are 100% free of charge.

Partner companies

How do I find a partner company?

You have the following options for finding a partner company:

  • You apply for currently advertised job vacancies at our partner companies: https://saphir-deutschland.de/stellenangebote/
  • A partner company notices your profile in our talent catalog. After successfully completing our selection process, all new additions to our talent pool are introduced to our corporate network with an anonymized short profile.
  • You take advantage of our coaching offer. SAPHIR can help you win over your dream employer for a cooperation with the SIBE program.

When will my documents be forwarded to the company?

Once you are in our talent pool, your documents will be forwarded to companies with positions that you are interested in and that match your profile.

What is the SAPHIR talent catalog?

The SAPHIR Talent Catalog is published every two months and essentially serves as a “profile overview” of selected talents whom we introduce to suitable partner companies. We therefore include all new profiles in our talent pool in this catalog—without disclosing any personal information; only your experience and skills are listed here. Companies can then use it to search specifically for suitable candidates for their open positions.

If a company is interested in your profile, we will contact you directly to discuss the position and introduce you to the company.

Can I also start my studies at my own company?

Sure, that's no problem. Just let us know and we'll give you all the necessary information.

Are there also positions abroad?

Yes, we have already had vacancies in England, Austria, Switzerland, and Mexico. A partner company from abroad is always possible.

What kind of jobs are available in my area?

How many hours per week do I work at my partner company?

Your weekly working hours vary greatly and depend on the respective partner company – they are usually between 35 and 40 hours per week.

How does the financing work? Will I receive a salary?

Your partner company will usually support you by covering the program fees (€1,160/month plus VAT) and travel expenses for in-person seminars. You will pay €350/month in tuition fees, which you can claim as a tax deduction.

In addition, you will receive a salary—the exact amount is determined individually by your partner company and depends on specific conditions (e.g., your profile, weekly working hours, vacation, benefits, etc.). Feel free to contact us for more details at any time!
